Privacy policy

How R Smile Dental Clinic handles your personal data when you visit this website, request a call back or contact us, and which rights you have.

This privacy policy explains how R Smile Dental Clinic collects and uses your personal data when you visit this website, ask us to call you back or contact us in another way. We have written it in plain language so that you know what happens with your information and which choices you have. We only ask for what we need to answer your enquiry, and we do not sell your data to anyone.

Who we are

The controller responsible for your personal data on this website is:

  • R Smile Ağız ve Diş Sağlığı Polikliniği Limited Şirketi, operating as R Smile Dental Clinic
  • Address: Kazlıçeşme Mah. Kennedy Cad. Yedimavi Safir A Blok No: 54 AH, 34020 Zeytinburnu, İstanbul, Türkiye
  • Phone: +90 535 283 09 56
  • Email for privacy questions: info@rsmiledentalclinic.com
  • Data protection officer: [name and contact details of the data protection officer, if appointed]

This policy covers this website and the enquiries you send us through it or through the contact options it links to. It follows the principles of the EU General Data Protection Regulation (GDPR). Depending on where the clinic is established, other data protection laws (such as [applicable national law]) may also apply. Where they do, you have the equivalent rights they provide.

What data we collect and when

We collect personal data only when you give it to us or when it is technically necessary to show you this website. Here is an overview.

When you request a call back or send a message

You will find a call-back form on several pages of this website. When you send it, we receive:

  • your full name
  • your phone number, including the country code
  • the language of the page you were using, so that we can reply in your language

On our contact page, you can also add your email address and a message. Both are optional. Your details are sent to our server and processed by our team to respond to your enquiry. They reach our team via [delivery channel, e.g. email or CRM]. The website itself does not store your form entries in a database.

Health information you choose to share

In your message, or later when you send us photos or X-rays, you may tell us about your teeth, your symptoms or your medical history. Information about your health is a special category of personal data under the GDPR and deserves extra protection. We use it only to assess and answer your enquiry, for example to give you a first idea of possible treatment options. By sending it to us, you give your explicit consent to this use. You do not have to share any health information to contact us: you can simply ask for a call back and keep the details for a consultation.

When you contact us via WhatsApp, phone or email

Some buttons on this website open WhatsApp. WhatsApp is operated by WhatsApp/Meta, not by us. If you choose to contact us there, WhatsApp's own privacy policy applies to how that service handles your data. We receive what you send us in the chat, together with the phone number linked to your WhatsApp account.

Phone and email links simply open the phone or email app on your device. If you call or email us, we receive the information you share in that conversation, such as your phone number or email address and the content of your message.

Technical data when you visit the website

When you open a page, your browser automatically sends certain technical information to the server that delivers it. Our hosting provider, [hosting provider], may process this information in server logs to operate the website and keep it secure. This typically includes:

  • your IP address
  • the date and time of your visit
  • the page you requested
  • information about your browser

The fonts on this website are hosted on our own server, so your browser does not contact Google Fonts. Most images are also optimised and delivered by our own server. The one exception is the small country flags in the language switcher and in the phone number field: they are loaded directly from flagcdn.com, which means your browser connects to that server and shares your IP address and browser information with it.

We use the Meta Pixel (Facebook and Instagram) only if you allow marketing cookies in the cookie banner. It then sends Meta information about the pages you visit on this website, together with technical data such as your IP address, browser details and the identifier stored in the _fbp cookie. We use this to measure how well our adverts work and to show our adverts to people who have visited the site. Without your consent the Meta Pixel is not loaded. You can find more details in our cookie policy.

Why we use your data and on what legal basis

We use your data only for clear purposes, each based on a legal basis under Article 6 of the GDPR and, for health data, Article 9:

  • To answer your enquiry, call you back and discuss possible treatment: this is necessary to take steps at your request before a possible treatment contract (Art. 6(1)(b) GDPR).
  • To use health information you share to assess and answer your enquiry: based on your explicit consent (Art. 9(2)(a) GDPR).
  • Where we ask for your consent for any other purpose: based on that consent (Art. 6(1)(a) GDPR), which you can withdraw at any time.
  • To measure our adverts and show them to people who visited this website with the Meta Pixel: based on your consent in the cookie banner (Art. 6(1)(a) GDPR), which you can withdraw at any time under Cookie settings.
  • To operate the website, keep it secure and prevent misuse, including server logs and the loading of the flag images: based on our legitimate interest in a working, secure website (Art. 6(1)(f) GDPR).

We do not use your data for automated decision-making, including profiling.

Who receives your data

We share your data only where this is necessary for the purposes described above:

  • Our team: the clinic staff who handle enquiries see the details you send us.
  • Our hosting provider, [hosting provider], which runs the server for this website and processes technical data and form submissions on our behalf.
  • [Provider of the delivery channel, e.g. email or CRM provider], which delivers your enquiry to our team.
  • flagcdn.com, which receives your IP address and browser information when your browser loads the flag images.
  • WhatsApp/Meta, only if you choose to contact us via WhatsApp.
  • Google, only if you click a link to Google Maps, which opens Google's own website or app.
  • Meta Platforms Ireland Ltd. (Facebook and Instagram), only if you allow marketing cookies. Meta and we are jointly responsible for collecting and transmitting this data.

We do not sell or rent your personal data to anyone.

International transfers

Many of our patients contact us from abroad, so your data may be processed in a country other than the one you live in. Your data is processed in [country of the clinic/host]. If your data is transferred to a country that does not offer an adequate level of data protection under the law that applies, we use appropriate safeguards where required, such as [safeguard used, e.g. standard contractual clauses]. Services you choose to use, such as WhatsApp, and the flag image server flagcdn.com may process data in other countries under their own policies. Contact us if you would like more information about these safeguards. Meta may transfer data to Meta Platforms, Inc. in the United States; Meta relies on the EU–U.S. Data Privacy Framework and standard contractual clauses for this.

How long we keep your data

We keep your personal data no longer than necessary for the purpose for which we collected it. Enquiries and related messages are kept for [retention period] and then deleted. Server logs are kept by our hosting provider for [log retention period]. If you go on to become a patient, different rules for patient records may apply, and we will inform you about them. If you withdraw your consent or ask us to delete your data, we will do so unless a legal obligation requires us to keep it.

Your rights

You have the following rights regarding your personal data:

  • Access: ask whether we process your data and receive a copy of it.
  • Rectification: ask us to correct inaccurate or incomplete data.
  • Erasure: ask us to delete your data.
  • Restriction: ask us to limit how we use your data, for example while we check a request.
  • Data portability: receive the data you gave us in a structured, commonly used, machine-readable format, or have it sent to another organisation.
  • Objection: object to processing that is based on our legitimate interests.
  • Withdrawal of consent: withdraw any consent you have given at any time. This does not affect processing that took place before you withdrew it.
  • Complaint: lodge a complaint with a data protection supervisory authority, such as [supervisory authority].

Some of these rights are subject to conditions or limits set by law. To exercise any of them, simply email us at info@rsmiledentalclinic.com. We may ask you to confirm your identity before we act on your request, and we will reply within the time limits set by law.

Children

This website is not aimed at children under 16, and we do not knowingly collect their data through it. If you are looking for treatment for a child, please contact us on their behalf as their parent or guardian. If you believe a child has sent us personal data, please let us know so that we can delete it.

Security

We use appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. However, no transmission over the internet and no storage system is completely secure, so we cannot guarantee absolute security. Please keep this in mind before sending sensitive information, such as health details, through the form. You can always wait and discuss them during a consultation.

Changes to this policy

We may update this privacy policy when our website or our processes change, or when the law requires it. If we start using analytics or marketing tools, we will update this policy first and ask for your consent before any such tool is used. The current version is always available on this page.
